- About 40 quote requests a month come from the website form, calls and texts. Maya prices each one by hand, usually after 8 PM.
- Prices depend on bedrooms, bathrooms, pets and extras like ovens or move-out cleans, and live mostly in Maya’s head.
- Quotes that get no answer are never followed up.
- Calls go to Maya’s own mobile. During cleans and after hours they go to voicemail, and many callers don’t leave one.

A quote form collects everything that affects the price. The moment it arrives, an AI step prices it from your own pricing sheet and past quotes and puts a ready-to-send quote in Maya’s Gmail drafts. Maya checks and sends it from the phone; follow-ups draft themselves.
How it works
- We turn the pricing in Maya’s head into one Google Sheet: base prices by home size, extras, pet fee, first-clean and move-out rules.
- A quote form on your website asks for bedrooms, bathrooms, pets, extras, preferred days and optional photos.
- When a request arrives, a Zap sends it with your pricing sheet to Zapier’s AI step, which works out the price, flags anything unusual, and writes the quote in Brightside’s voice.
- The quote lands in Gmail drafts with the price breakdown, and the request is added to a Leads sheet. Maya checks it and taps Send.
- If there’s no reply after 2 and 5 days, a friendly follow-up is drafted automatically. Booked clients are marked on the Leads sheet.

How it works
- We add team areas, skills (deep cleans, move-outs, pets) and client notes (keys, alarms, preferences) to your schedule sheet.
- A ChatGPT Business project holds that sheet and your rules for covering: nearest team first, no more than one extra home per team, keep regular clients with familiar faces.
- When a cleaner calls out, Luis types “Ana is out today”. The assistant lists the affected homes, proposes who covers each, and flags any it can’t fit.
- It drafts a personal text for each client (new time, new cleaner, or a reschedule offer). Luis sends them from the shared Quo number.

A starter version of the quote assistant takes about 30 minutes and shows you what the full version will do:
- In ChatGPT, open Settings, then Data controls, and turn off “Improve the model for everyone”.
- Write your prices into one Google Sheet: base price by bedrooms and bathrooms, each extra, pet fee, first-clean and move-out rules.
- Create a project in ChatGPT called Brightside Quotes and add the sheet and ten past quotes as files.
- In the project instructions, paste: “Price new requests only from the pricing sheet. Show the breakdown, then write a short friendly quote in our voice. Flag anything the sheet doesn’t cover.”
- Paste in the next quote request you get and compare its draft with yours.

How we estimate
- Volumes and times come from the interview. Time saved is the time today minus the time the new way takes, including checking the AI’s work.
- Hours are valued at your own rates when you give them; otherwise $75 an hour for owners and $30 for office staff.
- Jobs won back and revenue from faster answers are listed but never added to the totals.
- Usage-based costs (AI credits, automation tasks) are estimated from published rates; the first month’s bill replaces the estimate.
